Terms and Conditions for ‘Coaching With Wai’

1. Introduction

Welcome to Coaching With Wai  ("we," "us," or "our"). By accessing or using our website, services, or any content related to Coaching With Wai, you agree to comply with and be bound by the following terms and conditions ("Terms"). If you do not agree to these Terms, please refrain from using our services.  Please ensure you read the these terms in addition to the contract we provide you if you decide to proceed with our services. 


2. Services

Coaching With Wai provides mindset coaching, career coaching and development and mentoring services. All coaching and or mentoring sessions are private one to one session and are delivered virtually via an online platform such as MS Teams or similar unless agreed otherwise. 

We offer the different packages as outlined in the ‘Services and Packages’ section of the website. If you are looking for something more tailored to your requirements then please contact us by using the form on the website. 


3. Acceptance of service

It will not be deemed accepted until we have sent you an acknowledgement email upon receipt of contract and payment. 


4. Eligibility

You must be at least 18 years old to use our services. By agreeing to these Terms, you confirm that you are at least 18 years old or have the consent of a legal guardian to use our services.


5. Details and Security

To use our services, you will be required to share some personal information. You agree to provide accurate, current, and complete information when required to so that we can provide you with the service. Please refer to the Privacy Policy section on our website to understand how we use and protect your data. 


6. Payment and Refund Policy

Payments for our coaching services are due in full at the time of booking, unless otherwise agreed. We accept bank transfers and we will share payment details once you have decided to go head with a service. 

  • Refund Policy: Under the Consumer Protection (Distance Selling) Regulations 2000 Rights Act you have a 14 day cooling off period where you can request a full refund. However, should you start the service before the end of the 14 day cooling off period you  waiver this right and no refunds will be issued.


Any refund requests must be sent to hello@coachingwithwai.com and subject to it meeting the requirements as outlined above we will refund you within 14 days of receiving this.


  • Late Payments: If a payment is not made on time, we may suspend or cancel services until payment is received.


Prices displayed on the website are subject to a minimum price rise of 5% annually. 


7. Confidentiality

We are committed to maintaining your privacy and confidentiality. All information shared during coaching sessions will remain confidential, except when disclosure is required by law or with your explicit consent, or if we feel you will harm yourself of others. 


8. Coaching Relationship

The coaching relationship is intended to provide professional support and guidance but does not substitute for therapy, counselling, or medical advice. If you require professional advice beyond coaching, we encourage you to seek the services of a qualified therapist, counsellor, or medical professional. 


9. Obligations of the client, ‘Coachee’ ‘You’ ‘Your.’

This will be set out in the contract of which you should read before agreeing and signing it before any service begins. 

You will be responsible for scheduling each coaching session and also for any sessions that you need to reschedule with the required notice as set out in your coaching contract. 

Coaching requires the Coachee ‘you’ to be committed to wanting change and must ensure that you give yourself a distraction free environment in order that you can focus and gain the most from these sessions. 


10. Lateness

It is your responsibility to turn up to the scheduled sessions on time. If you are late to a session, you will not be entitled to extra time to make up lost time.

Where a session has started and you do not turn up within the first 10 minutes and without any notice given to us, we will treat this session as completed. 


11. Rescheduling

We operate a 48-hour notice policy for rescheduling sessions. Where you provide less notice we reserve the right to treat a session as completed. 


12. Code of Conduct

You agree to behave respectfully during coaching sessions and to engage in the process with a positive, open attitude. Harassment, abuse, or any form of disruptive behaviour will result in immediate termination of services. No refunds will be offered. 


13.  Liability

We make no representations or warranties regarding the results or outcomes of coaching services. You acknowledge that the success of coaching depends on your own efforts and commitment. We are not responsible for any direct or indirect consequences that may arise from the use of our services. 

If we are found to be liable in any way then your claim will be limited to the amount you paid for under the relevant service or package detailed in the service confirmation email. 


14.  Termination

We reserve the right to terminate or suspend access to our services at our discretion, including if you violate these Terms. You may terminate your coaching services at any time, but no refunds will be issued for unused sessions unless otherwise stated. Please read the contract carefully prior to signing up to any services.

15. Force Majeure

Neither Coaching with Wai or you shall be liable for any failure or delay in performing their obligations under this Agreement if such failure or delay is due to any cause beyond their reasonable control, including, but not limited to, acts of God, war, acts of terrorism, government regulation, natural disaster, fire, explosion, pandemic, or any other unforeseen and uncontrollable event ("Force Majeure Event").

In the event of a Force Majeure Event, the affected party shall:

  1. Notify the other party as soon as reasonably possible;
  2. Take  all reasonable steps to mitigate the impact of the Force Majeure Event;  and
  3. Resume performance of their obligations as soon as reasonably possible once the      Force Majeure Event has been resolved.


16. Intellectual Property

All content, including but not limited to coaching materials, videos, and resources, provided by Coaching With Wai is the intellectual property of Coaching With Wai unless otherwise stated or referenced and is protected by copyright laws. You may not reproduce, distribute, or otherwise use these materials for commercial purposes without our express permission.


17. Changes to Terms and Conditions

We reserve the right to modify or update these Terms at any time. Any changes will be effective immediately upon posting on this website. We recommend that you review this page periodically to stay informed about any updates.


18. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England. Any disputes arising from or related to these Terms shall be resolved exclusively through the laws and courts of England, UK.
